This guide walks through assigning a job function to multiple associates at once in Smart Access.
In this article, you will learn how to:
Go to Project Admin
From the left navigation, open Project Admin, then select Users.
Filter by manager (optional but recommended)
Click More filters above the user table, then use the Reporting manager dropdown to search for and select the manager whose direct reports you want to update. The user list will refresh to show only associates reporting to that manager, making it easier to find the right group.
Select multiple associates
Check the box next to each associate's name that you want to update. As soon as you select at least one user, the table header changes to show available bulk actions, and a counter (e.g., "3 users selected") appears in place of the column headers.
Choose "Assign Job Function"
In the bulk action bar that appears, click Assign Job Function.
Select the job function(s)
A dialog titled "Add users to job functions" opens, confirming how many users will be affected (e.g., "3 users will be assigned to the selected job functions"). Use the search box to find the job function(s) you need, and check the box next to each one you want to apply.
Confirm the assignment
Click the red Assign users to job functions button at the bottom of the dialog to apply the job function(s) to all selected associates at once.
Note: The same bulk action bar also offers other batch options next to "Assign Job Function," such as Assign to Group, Remove from Project, Required to Observe, Required to be Observed, and Send Activation Email. The same select-multiple-users pattern works for these too. You can also select multiple job functions in the dialogue if associates need several assigned at once.
