SOPs in Smart Access are living, trackable procedures that guide associates through a task step by step instead of a static PDF or binder page. An SOP is built from steps, contextual triggers, and a verification method, and stays connected to the rest of your operation.

What is an SOP?

An SOP is a documented procedure that tells an associate exactly how to perform a task, operate equipment, or follow a protocol and in Smart Access, it stays live and trackable rather than sitting in a binder. SOPs are built from a few core pieces:

  • Steps - Sequential instructions that can include text, images, video, and warning indicators for critical actions.

  • Contextual triggers - The task, equipment, location, role, skill/certification, or shift that determines when and to whom the SOP is delivered.

  • Verification - The method used to confirm compliance: a field acknowledgment, photo/video capture, digital signature, or full sign-off, tied to Action Plans, Observations, or Skill Building and Certifications.

  • Version history - Every update is tracked automatically, with notifications and re-training triggers for affected users.

SOP compliance data flows into the rest of Smart Access; a single procedure update can trigger re-skilling, surface in an Observation, and show up in reporting.

The SOP lifecycle

Most SOP work follows the same path from setup through ongoing compliance:

  1. Create & configure - A content manager or CI team member drafts the SOP: writing steps, adding media, and setting verification requirements and contextual triggers.

  2. Publish - Once reviewed, the SOP goes live and becomes available wherever its triggers apply by task, location, role, or manual search.

  3. Follow & verify - Associates follow the SOP in sequence and complete the required verification, whether that's an acknowledgment, a photo or video, or a signature.

  4. Monitor - Supervisors and leaders track compliance through real-time dashboards, follow up on flagged issues, and use the data to coach.

  5. Update - When a procedure changes, the content manager publishes a new version; affected users are notified and, where needed, a re-training requirement triggers automatically.

  6. Improve - Observation findings, deviation patterns, and user feedback feed into the next revision, closing the loop.
